General Definition of Work

The Executive Assistant provides a wide variety of complex and confidential administrative and clerical support and communicates information on behalf of the Office of General Counsel under the direction of the General Counsel and Deputy General Counsel. Interacts with various CMS officials, employees, counsel and agents in person, electronically or via telephone on a variety of issues including, but not limited to scheduling meetings, compiling reports, taking complaints and reviewing and forwarding legal issues to appropriate counsel for analysis and resolution.

Place of Work

The normal place of work is on the premises used by Charlotte-Mecklenburg Schools. Charlotte-Mecklenburg Schools reserves the right to require you to work at such other place(s) as it may reasonably require from time to time.

Essential Functions

Provides a wide range of complex office administration and support for the Office of General CounselProvides legal and administrative support to the General Counsel and Deputy General CounselPrepares and reviews various reports and performs special projectsMaintains the department’s appointment and out-of-office calendarRefers inquiries to appropriate staffCompiles records and documents; generates reportsPrepares hearing notice letters and Board determination lettersImplements best practices with customer service by receiving, reporting, and responding to all mediums of inquiry in a timely and professional mannerParticipates in creating and administering the Office of General Counsel and Board budgetsMonitors budget including tracking expenditures and generates budget reportsPrepares spreadsheets for budgets, and contracts, including tracking and maintaining expenditures and reconciling accountsServes as an approver for financial transactions representing the departmentSources and manages office supplies and inventory Arranges staff attendance at conferences, workshops, and meetings, secures airline transportation and hotel accommodationsCompletes itineraries, agendas, and expense reports of expenditures and reimbursements for travel-related meetingsPerform related work as assigned or required

Knowledge, Skills, Abilities

General knowledge of principles and practices of public schoolsGeneral knowledge of required records preparation and maintenanceThorough knowledge of county and school board policies, procedures, and standards regarding school systemsKnowledge of accounts payable policies, practices and procedures; general knowledge of routine accounting principlesAbility to maintain professional and emotional control under stressAbility to reflect appropriate responses to situations, while maintaining a professional and personal demeanorAbility to communicate effectivelyAbility to reason, make judgments, and maintain effective working relationshipsAbility to employ positive communication skills in all settings/mediumsAbility to problem-solve utilizing sound judgmentAbility to maintain confidentialityAbility to take initiative, work independently, and exercise sound judgementDemonstrated ability to work effectively in a deadline-driven, rapidly changing team environment

Education And Experience

High School Diploma or equivalent requiredAssociate degree in related area preferredMinimum of five (5) years’ experience in office administration and client/customer relations skillsEquivalent combination of experience and education

Special Requirements

Possess and maintain a valid Driver’s License or ability to provide own transportation
